The Cambridge Minor Baseball Association desires every child and adult participating in CMBA activities to enjoy a positive and fun learning experience.
The Board of Directors and Coaches are all volunteers with no compensation for their service. The growth of our programs and services are dependent on the positive maturity of our volunteers and players. Over the years CMBA has developed code of conduct rules for board members, parents, players and coaches. With this purpose in mind the CMBA established a procedure for filing a complaint or grievance that can not be resolved by the Head Coach.
The CMBA has implemented a grievance process to give a player, parent or coach a forum to have their complaint heard and acted upon, if warranted, by the Grievance Committee and the Cambridge Minor Baseball Executive. The Grievance Committee is comprised of a minimum of three CMBA Board members. The composition of the Grievance Committee may change from case to case. One of the members shall serve as the Grievance Committee Director.
Specifically, if an individual has a grievance, they are to submit their complaint in writing to CMBA Grievance Director (or designate) within seven (7) days of the event giving rise to the complaint or within seven (7) days of a discussion/meeting between the Griever and the Head Coach, whichever is later.
If more than one person has a similar complaint, they each must fill in the Grievance Form for it to be considered. Group Grievances will not be accepted. Further, if there is a concern or complaint about any policies or the constitution of CMBA it will not be dealt with through this process.
The Grievance Committee will review the complaint, conduct an appropriate investigation, facilitate mediation discussions, and make any appropriate responses to the complaint. If need be, the Grievance Committee's findings shall be presented to the Cambridge Minor Baseball Association Executive Board for final determination of the outcome of the grievance.

Grievance Process
Step 1- Griever & The Head Coach
If a situation should arise that warrants a complaint, please discuss the situation first with your player’s Head Coach. The Head Coach should be first point of contact. The griever must address the complaint in private with the Head Coach. If the issue is not resolved, then the Grievance Procedure may be initiated. The Grievance will not be considered valid if there has not been an attempt to resolve the issue at this step. If the problem is not resolved at this level, then the Grievance Director should be contacted as outlined in Step #2
Step 2- Griever, Person Grievance Is Alleged Against & Grievance Committee
The person(s) filing the grievance will submit their complaint in writing on the grievance form found on the CMBA web site to the Cambridge Minor Baseball Association Grievance Director within seven days of the event giving rise to the complaint or within seven days of the private discussion with the Head Coach, whichever is the later. Once the Grievance Committee receives written notification of the grievance, a member of the Grievance Committee will contact, via phone or in-person, (within 7 business days) the originator of the grievance. However, the Grievance Committee will report complaints alleging physical abuse immediately to law enforcement and to the Cambridge Baseball Association Board. The Grievance Committee will review the complaint and determine whether the complaint filed falls within the guidelines established by the policies and procedures of CMBA. After reviewing this information, the Grievance Committee will make their determination as to the appropriateness of the complaint. You will be notified by the Grievance Director as to whether a Formal Grievance is granted or denied. If a Formal Grievance is granted, then the Grievance shall proceed to Step 3.
- For a grievance filing to be considered complete, all questions asked on the Grievance form must be addressed.
- Incomplete grievance filings (not providing requested information) will be returned with a request for the missing required information.
- The grievance filing will not be accepted, and the required timelines will not apply until all the required information is received.
Step 3- Griever, Person Grievance Is Alleged Against & The Grievance Committee
The Grievance Committee will gather information and facilitate discussion as necessary and try to resolve the problem.
- If a satisfactory solution can be agreed upon, via the Grievance Committee’s involvement, the Board must be notified of the incident at the next scheduled monthly meeting. The Grievance Committee Director will notify (in writing) the originator, within 2 weeks after the Board meeting at which the Board was notified, of the Association’s, as per the Grievance Committee’s recommendation, response.
- If a satisfactory solution can not be reached between the involved parties, via the Grievance Committee’s intervention, the grievance will be presented to the Cambridge Minor Baseball Executive by the grievance Committee at the next scheduled monthly meeting.
Step 4- Griever, Person Grievance Is Alleged Against, The Grievance Committee & CMBA Executive
All involved parties must be present at the Executive Board meeting. The Grievance Committee will present their description or interpretation of the incident. All parties will have an opportunity to clarify the issue. The Board, along with the Grievance Committee will decide what action to be taken by the Association. The Association will notify (in writing) the originator within 2 weeks after the Board meeting, at which the grievance was presented, of the Association’s decision on resolving the issue(s).
